STANDARD CONDITIONS OF HIRE
1.
The hirer agrees to comply with all GVS instructions, Government Instructions and Advice and advice from Public Health Wales regarding safety relating to COVID 19 or any other occasion when an epidemic or pandemic is declared. The hirer accepts responsibility to ensure the safety of its staff, volunteers, visitors and all users of the building under the terms of this condition.

All bookings will be treated as provisional until we receive your full payment which is due upon booking along with a signed copy of the Hire Agreement Form. Once payment is made the Hirer agrees that the payment is non-refundable.

If the hirer wishes to cancel the booking and GVS is unable to conclude a replacement booking, the question of the repayment of the fees shall be at the discretion of GVS. In the event of GVS cancelling the booking, all fees paid by the Hirer shall be refunded.

Cancellation clause:
Cancellations should be notified to us at least 28 days in advance. If less than 28 days’ notice of cancellation is given, any refund is at the discretion of GVS.
We reserve the right to cancel any booking in order to carry out essential repairs of maintenance; in this event any payments will be refunded.
5.
The Hirer is welcome to use the chairs and tables available in each of the spaces. It is the responsibility of the Hirer to set up the room and to put the room back to how they found it afterwards. Time for this should be factored in when booking the spaces. The Hirer, if using the kitchen, should ensure that any kitchen items used must be washed, wiped and put away.

The Hirer shall, during the hiring, be responsible for supervision of the premises, protection of the fabric and contents, safe from damage, however slight, or change of any sort, and the behaviour of all persons using the premises whatever their capacity.
7.
The Hirer shall be responsible for obtaining any necessary approvals or licences (including liquor licence) in connection with the hire, other than those already held by GVS. The hirer shall nominate one adult person to be responsible for all safety arrangements for the duration of the entertainment and that person shall familiarise him/herself with the action to be taken on discovering a fire, including the location and use of fire-fighting equipment and the location of exits and escape routes from the premises.

The Hirer shall be responsible for making arrangements to insure against any third party claims which may lie against his/her organisation whilst using the Centre. GVS is insured against any claims arising out if its own negligence.
9.
The Hirer shall be responsible for the observance of all regulations appertaining to the premises.
10.
The Hirer shall not sub-let or use the premises for any unlawful purpose or in any unlawful way nor do anything or bring on to the premises anything which may endanger the premises, their users, or any insurance policies relating thereto.
11.
The Hirer shall indemnify GVS for the cost of repair of any damage done to any part of the property including the curtilage thereof or the contents of the building during or as a result of the booking.
12.
The Hirer shall, of selling goods on the Centre premises, comply with Fair Trading Laws and any local code of practice issued in connection with such sales. In particular, the hirer shall ensure that the total prices of all goods and services are prominently displayed as shall be the organiser’s name and address and that discounts offered are based only on Manufacturers’ Recommended Retail Prices.
13.
The Hirer shall be entitled to a full and immediate refund on any bond where the hirer has complied with the Conditions of Hire governing the Centre. Should the Centre not be left in a clean and tidy condition and/or damage has been caused to any part of the property, furniture or fittings then GVS reserves the right to retain all or part of the bond.
14.
The Hirer shall ensure that the Centre is fully vacated by the time stipulated on the hire form. Should the premises not be vacated on time GVS reserves the right to make an additional charge.
15.
The Hirer shall ensure that NO SMOKING takes place as it is against the law to smoke in the Centre premises. Smoking is not allowed outside the Centre under any circumstances.
16.
No animals are allowed in the Community Centre except for service animals e.g. Guide Dogs.
17.
The Hirer must bring their own black bin bags/recycling bags and take away all rubbish as there are very limited facilities to dispose of rubbish at the Centre.
